The time it takes to hire an offshore software engineer depends on the role, available candidates, your assessment process, commercial decisions and the person's actual start availability. Plan those dependencies before treating a provider's shortlist date as the date an engineer will join and contribute.
For a US team considering Philippine talent, distinguish four milestones: a brief ready for sourcing, candidates ready to assess, an agreed engagement and a supported first day. A fast first milestone does not establish the remaining ones.
Define the finish before estimating the time
“We need someone next month” can mean that the company wants interviews completed, an offer accepted or a developer working inside the codebase. Put the intended milestone in writing and identify the person who can approve it.
If the need is a product launch, work backward from the engineering responsibility rather than assuming a new hire will deliver immediately on arrival. The engineer may need system context, access and review before making a useful contribution. Our onboarding guide covers that separate preparation.
Begin the search estimate with the tasks and capabilities. OPM's job-analysis guidance supports connecting those two. An unresolved role can create apparent sourcing delay when the real blocker is that decision-makers want different people.
Build a dependency sheet
For each step, write what must be true before it can finish. The table is a planning template, not an Arca service-level agreement.
| Step | Dependency | Owner to confirm | Useful exit evidence |
|---|---|---|---|
| Calibrate the brief | Product responsibility, budget and support are understood | Hiring manager and technical lead | One agreed version ready for sourcing |
| Source and confirm interest | Clear requirements and an actual candidate pool | Recruiter | Relevant candidates who have confirmed interest and availability |
| Assess | Candidate and reviewers can participate | Technical interviewer | Evidence against the agreed criteria |
| Decide and agree terms | Feedback, budget approval and commercial questions are resolved | Hiring decision owner | Documented decision and accepted terms |
| Prepare the start | Actual notice, permissions, equipment and support are addressed | Named onboarding owner | Start confirmation and day-one readiness |
An assessment can wait even when the candidate is available. Reserve interviewer and decision-maker time before sourcing starts. OPM's structured-interview guidance provides a basis for consistent questions and rating standards; prepare those instead of improvising another interview whenever a candidate arrives.
A fictional schedule shows where overlap helps
Suppose a team uses the following invented working-day allowances for one uncomplicated search. These are arithmetic inputs, not market averages, an Arca quotation or a hiring forecast.
The team allows three days to settle the brief, eight days to source interested candidates, four days to complete assessment and two days for its decision and agreement. It then assumes a candidate needs ten working days before starting. Access preparation takes six working days and can begin after the agreement, alongside that ten-day wait.
The illustrated path is 3 + 8 + 4 + 2 + max(10, 6) = 27 working days. Adding all six inputs would count the overlapping start preparation twice. Conversely, assuming all steps run together would ignore their dependencies.
If access preparation takes twelve days instead of six, the illustrated path becomes twenty-nine working days. If the candidate's availability changes, replace that assumption too. Real searches may have rework, holidays, approvals, different calendars or no suitable match; this simple example cannot predict those conditions.
The practical benefit is seeing which owner can change which delay. Reserving an interviewer may shorten a scheduling queue. It cannot shorten a candidate's agreed notice or create a missing specialist.
Prepare access without granting it prematurely
Inventory the repositories, environments and accounts the role will require. Get approvals and prepare instructions while keeping actual access tied to the authorized person and start arrangement.
GitHub's repository-role guidance recommends matching access to the person's function without providing more than needed. Preparing a role and its approvals is different from granting broad permissions to every shortlisted candidate.
Write down decisions, open questions and next owners in a shared place. Microsoft's asynchronous collaboration checklist supports durable context and recorded decisions. A concise written debrief helps an unavailable approver respond without reconstructing several interviews.
Ask for a forecast with assumptions
When speaking with Arca, share the role, important skills, assessment availability and the milestone you are trying to meet. Ask what can be estimated now, which candidate information must be confirmed and when the forecast should be revisited.
Separate any proposed sourcing or shortlist estimate from assessment, accepted terms, start availability and onboarding. Confirm actual commitments in the engagement discussion. A published competitor timeline should never become an assumed Arca promise.
If the forecast misses your need, reconsider the work alongside the date: can an existing engineer cover a bounded task, can scope wait, or does the role require a different support arrangement? Keep the hiring standard tied to the responsibility. Our hiring brief and sourcing-channel guide help make those choices explicit.
Frequently asked questions
Is the 27-working-day example a hiring forecast?
No. Every duration is invented to illustrate dependencies and overlapping preparation. Replace the inputs with confirmed information about the actual search.
Is a shortlist date the same as a start date?
No. Assessment, decisions, agreed terms, candidate availability and start preparation may remain after a shortlist is ready.
What can the hiring team prepare early?
Clarify the role, reserve reviewers, prepare consistent assessment and identify access approvals. Grant actual permissions only under the authorized arrangement.
Can time-zone differences shorten the search?
Not automatically. Confirm the availability and response windows of candidates and decision-makers; geographic separation does not remove dependencies.
What should we ask Arca to estimate?
Name the milestone and ask which assumptions support the estimate, what candidate information remains unconfirmed and when the forecast should be revisited.
